Help the next team start without another round of messages.

Name the next owner

A completed task should tell the team who acts next. Put the next owner in the workflow before the current task is finished. This avoids treating an email announcement as a handover.

Package the evidence

Make the approval, drawing, inspection result or delivery confirmation available with the completed work. The receiving team should be able to check readiness without chasing documents through different channels.

Agree what “ready” means

List the conditions that allow the next team to start. If those conditions are incomplete, keep the handoff open and identify the missing action. A clear acceptance step is more useful than a green status that hides unresolved work.
