Replace vague status requests with the next action, an owner and a date.
Ask for a specific outcome
“Any update?” usually invites another conversation. Ask for the delivery date, a photo of completed work or a decision on an open issue. A concrete request makes it easier for the vendor to act and easier for the team to verify progress.
Keep context with the request
Include the site, task, expected date and the person coordinating the work. Make supporting drawings or specifications easy to find. Avoid requiring a partner to reconstruct the project from a long message thread.
Agree an escalation path
Decide when an overdue request needs a phone call or a manager’s involvement. Escalation should follow the risk to the project, rather than the number of reminders sent. Record the decision in the shared workflow so the next person has the same context.
