Chaayos Automates Store Opening Handoffs and Approvals

As Chaayos expands across cafés, kiosks and other formats, Nodomo helps keep the people, approvals and vendor handoffs behind each opening moving.

The challenge

A strong process with too many handoffs

Chaayos already had an established new store opening (NSO) process and experienced teams. The difficulty was keeping a growing number of openings on schedule when delivery depended on many people completing work in the right sequence. An approval could wait on a decision; a vendor update might sit outside the project record; or a downstream team could discover too late that an earlier step had slipped.

Opening status required follow-ups across internal owners and external partners. An outstanding approval or vendor response could hold up the next team without a timely warning. Adding new software for every vendor risked making adoption another project.

With multiple outlets in flight, leaders needed to know what was stuck, who owned it and what needed action next.

The solution

Keep the process, automate the follow-through

Chaayos adopted Nodomo for NSO execution without replacing the way its team already plans openings. The existing process was mapped as a connected workflow: every step has an owner, dependencies determine what can proceed, and approval decisions become visible within the project rather than scattered across conversations.

  1. Map the opening once; reuse it across sitesThe team can run structured opening workflows across multiple locations while adapting details to a site or format. Chaayos has opening workflows organised by geography, including Delhi NCR, Chennai, Hyderabad, Bengaluru, Pune and Mumbai. The opening plan becomes an executable process, not merely a status sheet that someone must remember to update.
  2. Trigger the next owner when work is finishedNodomo connects tasks and approval points so a completed step can move the opening to its next responsible owner. When a decision is outstanding, the team can see the blocker instead of discovering it at the next review. Rejected approvals can return to the relevant step with context, reducing unstructured back-and-forth.
  3. Involve vendors without asking them to join another platformVendors and partners receive a task or approval by email, open the relevant link and submit the requested response without creating an account. Their action advances the workflow and keeps the internal team informed, even when partners are involved for only one stage of an opening.
  4. Give HQ a clearer picture of riskOpening owners can see which projects are progressing, which tasks are pending and where a dependency is holding up the schedule. Instead of collecting explanations for a late opening, the team can identify the current blocker and the person who needs to act.
The results

Results across new store openings

  • 31% reduction in delay days across active opening projects.
  • 68% reduction in approvals remaining overdue beyond their target date.
  • 12.5 hours saved per week on manual vendor follow-ups and status reconciliation.

In the customer’s words

“It didn't ask us to reinvent our process. Vendors can simply complete their task or approval via email and keep the project workflow moving.”

Mohit Malik, CTO, Chaayos

For Chaayos, keeping its established opening process meant teams could focus on the handoffs: getting requests to vendors, recording decisions and moving work to the next owner.

Why it matters

An opening playbook that reaches the right person

Nodomo turns an existing store-opening playbook into work that reaches the right person, includes the external partners who make the opening possible, and gives expansion leaders a live view of where to intervene. For chains opening sites in parallel, that improves control without making every field team or vendor adopt a separate system.
